To provide proactive, comprehensive and professional PA/administrative support to partners and associates in the Disputes and Project Finance Practices.
Job scope is generally as follows but may subject to changes:
· Providing daily secretarial support to Partners and Associates
· Schedule meetings and coordinate conference calls across different time zones
· Managing Partners' calendar, emails and address book
· Managing, answering calls and liaising with clients competently
· Establish, maintain and update clients’ contacts in Interaction
· Extensive travel arrangements (including visa application) and expenses claims for fee earners
· Booking attendance at conference / seminars (including national and international travel) and organising trip itineraries and logistics
· Liaising and arranging the bi-yearly Asia Lawyers Conference and internal events
· Printing of agendas, presentations and meeting papers specific to allocated Partners / Fee Earners
· File opening and follow up with conflict checks and engagement letter including organising and filing of documents in iManage
· Proof reading of legal documents
· Preparing billing guide, proforma narratives and invoices; work with the Finance team on monthly billings
· Liaising with clients on administrative matters such as billing or tax issues
· Assist in the formatting of the pitches, presentation slides and proposals
· Working with the Business Development team as required, to include helping to produce tenders, credential sheets, events, pitches etc., as well as small marketing events.
· Any other ad-hoc projects
